Certification of Tax Exempt Groups

As part of the new IRS reporting requirements that you have been hearing about for the past six months, National 4-H Headquarters is now required to annually certify the list of subsidiaries registered to use our Group Exemption Number (#2704). We have sent an EXCEL spreadsheet to county agents with the 144 groups that the IRS has listed in Colorado. This is far less than the 1,469 groups reported on last year’s ES237. This is probably due to the omission of the Group Exemption Number (GEN #2704) when applying for the IRS Employer Identification Number (EIN). After all the information has been updated we will then send a single, updated spreadsheet for all Colorado 4-H groups to CSREES.

Your task is to update, add and change any information on the spreadsheet for your county.

Please follow these instructions carefully, as directed by the IRS, so that Colorado and National 4-H Headquarters can certify all records and submit them to the IRS in December.

First open the spreadsheet, and delete from it all groups that are not part of your county or area. Keep all those that were once, or are now, part of your county or area.

Then, in column "K-UPDATES," insert the following codes as needed and make related changes in columns A-J as follows. In addition, if some data fields are empty, insert the missing information and mark it by inserting the appropriate code in column K. (Data in columns may be sorted to facilitate the process [e.g., sorting columns by city]; however, the columns should not be rearranged.) Before sending this updated information back to us, please highlight any changes you have made.

DEL Marks an entry for deletion Leave columns A-J as they are
NC Marks a name change Make any necessary name changes in columns C, D and/or E*
% Marks a change to the contact person Make any necessary changes to contact person in column F
ADR Marks an address change Make any necessary address changes in columns G, H, I and/or J
  • Column A should be the EIN number for the group
  • Column B should remain blank
  • Column C should read "4-H CLUBS & AFFILIATED 4-H" for every group
  • Column D should read "ORGANIZATIONS" for every group
  • Column E should be the specific club or subsidiary group name
  • Column F should be the current individual responsible for the organization followed by their address, etc. in the appropriate columns

Finally, do a “save as” and rename the spreadsheet with your "County/area name 4-H Certification.xcl" and forward it to: ellen.butler@colostate.edu. The deadline for all additions and changes is Nov. 21. Our certified state report is due to CSREES by Dec 1. Please call if you have questions. Thanks! — Dale Leidheiser

Prudential Spirit of Community Awards

Counties should have recently received the Prudential Spirit of Community Awards information from National 4-H Council. Take some time to nominate members in your county and forward the nominations to me for state level judging by Nov. 7. The top 10 awards nationally will receive $5,000 awards and $5,000 grants from the The Prudential Foundation for the nonprofit organizations of their choice.

4-H Fair Share

National 4-H Supply Service has begun their new 4-H Fair Share Program. Every Colorado order that is placed through www.4-HMall.org will benefit the state 4-H program with a payment equivalent to 10 percent of the value of all merchandise ordered.

Your www.4-HMall.org order will automatically count toward Colorado’s 10 percent commission – there is no extra effort required on your part!

Please note that only orders placed through the online store at www.4-HMall.org will count towards Colorado’s commission amount. Orders placed via phone, fax, normal email or through traditional mail do not count toward state totals.
